PTO Board Meeting

February 9, 2022

  •  Donuts with Dudes &  Diva’s Date Confirmation 
    • Name Changed to Donuts with Grownups
    • Shelly worked with Jennifer Flores on dates and come up with: 
      • Dudes 4/22 7:15-8:30am Pre-K, 1st, 3rd, 5th
      • Divas 5/5 7:15-8:30 Changed to 4/21, 2nd, 4th, 6th
    • Need to finalize the menu. Donuts, white milk, chocolate milk, OJ, and water
    • Cafeteria has gotten us a price for white milk, chocolate milk and orange juice at $0.75 each. There are 30 to a case. 
    • Water 3 cases (120 bottles), White Milk 2 cases (60), chocolate milk 4 cases (120), Orange juice 2 cases (60).
    • Cost: Drinks approx. $200
    • We need to arrive at 6:45 to set up.
    • Cortney will be getting with the 
  • Kindergarten Tassels
    • Total came to $438.90 ($515.88) for 110 as there are 105 students. 
    • Per vote via messenger it was a yes for the go ahead. 
    • Shipping is approx. $70 (based on cost not weight). We will buy them this year from this vendor and next year we will shop around for better pricing.
  • Staar testing shirts/snacks 
    • Decide between four designs. (Please see attached)
      • Voted on the TX design and the Rock this Staar design.
      • What is red will be pink, white, what is green will be gray, on a blue shirt.
      • Remove the pink lighting bolts, change rock staar to neon orange.
    • Send it to Parker & Davis for approval.
    • Need to have it approved & ordered by 3/1.
    • We will be sending out a note to teachers to get shirt sizes.  
    • Paying for half the shirts & the school is paying for the other half.
    • Paying 100% of snacks. (Need to decide what we are going to include and cost)
      • Snacks need to be put together 3/31-4/1 for the first testing dates and the week of May 3rd-6th for the 2nd testing days.
      • Last year we had: Peppermints, pretzels, animal cookies and a bottle of water. We just give a case to each class and place extras in the lounge for them to get if needed.
      • Snacks will be the same as last year. If we can't find animal cookies then we will go with cheez-its.
    • Dates to put together: 3/31 & 4/1 (174), 5/2 & 5/6 (1050)
    • Dates to be handed out: 
      • April 5th - 6th (5th grade Math & Reading) 87 students per day. 
        • Changed to 4/4 & 4/5.
      • May 10th - 12th (3rd-6th grade testing) 3rd- 84 students, 4th- 96 students, 5th- 87students 6th- 83 students = 350 students per day.
        • Changed to 5/9, 5/10, and 5/11.
      • Antash (Applied Skills) & Smith (Life Skills): Need to figure out how many students are taking the staar test. 
        • Need to confirm with Antash and Smith the dates of their testing.
      • Teachers count: 3rd 4, 4th 4, 5th 5, 6th 4
      • Need to get a staff list for count and sizes (All staff is getting a shirt).

  • Treats for Pre-K, 1st & 2nd
    • Need to decide what we are going to do for the above grades since kindergarten is getting tassels and the other grades are getting staar shirts. 
      • Pop-its 
      • End of April 
  • Popcorn for Valentine's Day: Vote Needed
    • Voted yes for both students and staff.
    • Will include one bag of popcorn with a label attached for each student & staff member (approx 850).
    • Cost:  
      • With staff- 27 boxes of popcorn (32 bags $9) + $75 labels + tax = approx $320
      • W/ out staff (just students)- 24 boxes of popcorn (32 bag $9) + 75 labels + tax approx = $290
      • Only need two more packs of labels as we have two on hand.
    • Need to decide what day & who will come in to print & put together. 
      • 2/10 Shelly, Nicole, Tiffany
    • They can be delivered with the valentines grams.
      • 2/11 Nicole, Shelly, Cortney, and Tiffany.
  • Monthly Newsletter
    • Are we interested in bringing this back?
      • Vote was no. We will continue to put flyers in the digital gazette. 
  • 2-2-22 Treats Proposal
    • Voted no because it is a vacation day for Splendora so the  kids won't be here. 
    • Made by Maria it will include the date with a wildcat.
    • We will include a note attached. (Please see attached for the design idea of note; colors can be changed based on the color of the pencils we get).
    • Cost: Approximately $200 for engraving only. 
    • Need to decide on the color of the pencil so we can figure out the cost. 
  • Go Texan Day: 2/18/22 (Friday)
    • Location (Front of school in covered area; if Davis approves) has been decided by Tiffany and Buik. 
      • Has been approved. Confirmed it will go in the front of the school in the covered area so it is convenient for parents.
    • Design needs to be confirmed
      • Design is confirmed with Tiffany. Will include hay bales, pallets & fabric.
    • Budget needs to be voted on. 
      • $150
    • Will need to be set up the day before. Volunteers needed.
      • Tiffany & Shelly will set up together. The 17th & 18th
    • This is free & PTO will not be taking the photos. It is for parents to use.
  • Spring Pictures: 2/15/22 (Tuesday)
    • Volunteers will be needed to help out.
      • Need 2-6 volunteers.

    • Working with Clint to get the parties rescheduled.
      • Need new date options.

    • Working with Clint to see if we can just do gummy bears.
    • Any other ideas? No, all agree on gummy bears.
    • Date proposed to sell 3/21-3/31.
    • In person kick off?
    • Kick off week 3/14-3/18?
  • By Laws
    • Bylaws are being updated and everyone will need to read over them and make sure that they do not see any other issues. 
      • Should be done by the public PTO meeting for the board to review and sign.
    • We will resign them once we have revised everything.

  • Vending Machine
    • Need to look into getting a new vending machine as the top and bottom rows are not turning properly. (Approx $5,000 for a new one)
      • Going to see if we can get a grant at the beginning of next year.
  • Merchandise
    • Long sleeve shirt/sweatshirt options.
      • Going to do a pre-sale and then just order the amount bought and 2 extras of each size.

    • Going to be setting up Venmo.
